Privacy Policy

Effective date: October 2026

This Privacy Policy explains how VIC Digital Works (“Print WorkTraq”, “we”, “us” or “our”) collects, uses, shares and protects personal information when you visit our website at www.print-worktraq.com (the “Site”), contact us or request a demo. It does not cover the Print WorkTraq software that our customers use under a separate agreement; how customer data is handled inside the software is described in that agreement.

1. Information we collect

Information you give us

  • Contact form: your first and last name, email address and the message you send us.
  • Demo booking form: your first and last name, email address, phone number, company name, country, any details you add about your needs, and the date and time you choose for the demo.
  • Emails and calls: any information you include when you email or call us directly.

Please do not send us sensitive information (such as financial or health information) through these forms.

Information collected automatically

  • Technical and log information: when you visit the Site, our web server and security software record information such as your IP address, browser type, device type, the pages you visit and the date and time of your visit.
  • Cookies: small files stored on your device. See “Cookies” below.

2. How we use your information

We use personal information only for the purposes for which it was collected, namely to:

  • reply to your questions and requests;
  • schedule, confirm and hold product demos, and follow up with you about them;
  • provide information about Print WorkTraq that you have asked for;
  • operate, maintain and secure the Site, including detecting and blocking spam, abuse and attacks;
  • understand how the Site is used so we can improve it; and
  • meet our legal obligations.

We do not sell or rent your personal information.

3. Consent

By submitting a form or contacting us, you consent to us collecting and using your information as described in this Policy. You may withdraw your consent at any time by contacting us (see “Contact us”), subject to legal or contractual restrictions. If you withdraw consent, we may not be able to answer your request or provide a demo.

4. Marketing emails

We will only send you marketing or promotional emails if you have agreed to receive them or where Canada’s Anti-Spam Legislation (CASL) otherwise permits it, for example after you have asked us about our products. Every marketing email includes a way to unsubscribe, and you can also ask us to stop at any time.

5. How we share your information

We share personal information only as described below:

  • Service providers who help us run the Site and our business, such as our website hosting provider, email service and website security provider. They may use the information only to provide services to us and must protect it.
  • Legal reasons: when required by law, court order or a government authority, or when needed to protect our rights, property or safety, or those of others.
  • Business transfers: if our business, or part of it, is sold or merged, personal information may be transferred to the new owner, who must continue to protect it as described in this Policy.

6. Cookies

The Site uses cookies and similar technologies that are needed for it to work and to keep it secure, such as cookies set by our security software to tell people apart from automated attacks and cookies that remember your session. You can block or delete cookies in your browser settings, but some parts of the Site may not work properly if you do.

7. Third-party services and links

  • Google Fonts: the Site loads fonts from Google’s servers. Your browser connects to Google, which receives your IP address. See Google’s Privacy Policy.
  • YouTube videos: our videos are hosted on YouTube. A video is loaded only when you choose to play it, using YouTube’s privacy-enhanced mode. Once you play a video, YouTube (owned by Google) may collect information about you under Google’s Privacy Policy.
  • Links to other websites: the Site links to other sites, such as Google Maps, Facebook and LinkedIn. We are not responsible for how those sites handle your information; please read their privacy policies.

8. Where your information is stored

Your information may be stored and processed in Canada and in other countries where we or our service providers operate, such as the United States. When information is outside Canada, it is subject to the laws of that country and may be accessible to its courts, law enforcement and national security authorities. We take reasonable steps, including contractual measures, to make sure your information receives a comparable level of protection.

9. How long we keep your information

We keep personal information only as long as we need it for the purposes described in this Policy, or as required by law. For example, we keep contact and demo requests for as long as needed to respond and follow up, and then for up to 24 months in case you contact us again, unless you become a customer or ask us to delete it sooner. When information is no longer needed, we delete it or make it anonymous.

10. How we protect your information

We use reasonable physical, organizational and technical safeguards to protect personal information against loss, theft and unauthorized access, use or disclosure. These include encrypted connections (HTTPS), security software on the Site and limiting access to people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Your rights

Subject to applicable law, you have the right to:

  • ask whether we hold personal information about you and request a copy of it;
  • ask us to correct information that is inaccurate or incomplete;
  • withdraw your consent, including unsubscribing from marketing emails; and
  • ask us to delete your information where we no longer need it.

To make a request, contact us using the details below. We may need to confirm your identity first, and we will respond within the time required by law (generally 30 days).

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or, in Alberta, the Office of the Information and Privacy Commissioner of Alberta.

12. Children

The Site is intended for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please contact us and we will delete it.

13. Changes to this Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date. If we make significant changes, we will take reasonable steps to let you know.
